ClickUp Lists – Everything you need to know to use ClickUp Lists for your project.

  1. ClickUp lists are where tasks live. 
  2. To create a list: On the left sidebar, click on the plus sign and Create new list. 
  3. You can also create templates and apply it to other lists. You can organize lists in different ways: people, phases of the project, timeline, sprints, divisions, departments, groups, and locations. 
  4. Reorder the lists by clicking the three dots and then “move”.

Hi, I’m Amalie Shaffer with Systemic Excellence Consulting. And today I’m going to go over ClickUp lists. So ClickUp lists are where tasks live, they become essentially the tabs inside of folders and spaces.

So over here, you can see this is the space, this is the folder, and these are the lists. And then inside of lists, you can customize the statuses and the statuses are here. If we look at the board view, you can see the two statuses here. And then each task must belong to a list. So you can have a list without a folder, but you can’t have a task without a list. And then you can also make lists private, and share them with external guests. And some of the ways to organize lists are people, phases of the project, timeline, sprints, divisions, departments, groups, and locations.

Basically, with the list, you have a lot of flexibility on how you can organize different things within your business. So again, this is the list. And you can have a list without a folder, but you can have tasks without lists. And so here are the tasks. So if you want to create a new list, you just click on this create list, new list, you can also make list temp into a template, and then apply that template by clicking on here.

So if we wanted to browse templates, this is I don’t have any templates saved in this trust account. But we can see what templates are available from that are native to click up.

So let’s just say we’ll use the simple project management. So I’ll just click on Quick use. And now it’s going to produce that list right here for me. And then we’ll be able to see  the different statuses within the list. If you want to see all the empty statuses, you just click that. So it’ll show us that. You can click to have show close tasks. That’s typically how I set it up.

And then I usually reorder this so that I can see that to-do in progress complete, you can move tasks between lists. So over here, if we wanted to move this one, you can either move it by clicking the three dots, move, or you can select it and click over here to move. So if I’m going to move it, let’s say I want to move it to the simple project management. Now it’s going to move it over there for me, and then it’ll be listed right there.

And then, so for the list, you can change the permissions, you can share it. So if I’m sharing it, I click this. And then it’s already shared with two people here myself to our actual business account, and then the Workspace Owner here, but then you can just type someone’s email address in and share it with them. You can also make it private so that if you have a team member that has full access, you can make some things private that they wouldn’t have access to and then you can add people individually there.

You can also add people here, you can either add guests or members. Members are the  paid people on your plan. And I did go over user roles in a previous video. So make sure you check that one out if you have questions about that.

So again, the list, you can have them standalone so I could really organize this whole thing in lists and just take away the folder if I wanted to. Or you can have them within folders. And that is lists.
